Contacting a Professor in Japan: The Research-Student Route for Indians

Here's the thing almost no Indian applicant is told until it's too late: getting into a Japanese graduate program is not mainly about your GPA, your GRE, or a polished application form. In almost every route — MEXT University Recommendation, a direct master's, or the research-student (kenkyusei) path — the decision is effectively made by one person: the professor whose lab you want to join. The department mostly confirms what the professor has already decided. If your future supervisor advocates for you, you're in. If you never reach them, the strongest paperwork in the world sits unread.

Why the professor holds the keys

In the West you apply to a program and a committee admits you. Japan's graduate system is lab-centric: you join a specific 研究室 (kenkyūshitsu, "lab") led by a professor who takes personal responsibility for supervising you, funding parts of your research, and vouching for you to the department. This is why every serious route asks you to secure a supervisor's consent first.

It's most explicit in the MEXT (Monbukagakusho) Scholarship. Under the University Recommendation track, and increasingly the Embassy track, you're expected to obtain a supervising professor's agreement — a "Letter of Provisional Acceptance" or "consent for supervision" — as part of the application. Note the honest caveat the universities themselves print: obtaining a professor's consent does not guarantee the scholarship or a formal offer. It's necessary, not sufficient. But without it, most applications don't move at all.

What a "research student" (kenkyusei) actually is

A research studentkenkyusei (研究生) — is a non-degree student who studies a specific topic under a professor's supervision, usually for 6 to 12 months. You don't earn credits or a degree in this status. What you get is time and access: time to improve your Japanese, adjust to the lab, produce preliminary research, and — crucially — prepare for the graduate-school entrance examination that leads into the actual master's or PhD.

Think of kenkyusei as a try-before-you-commit bridge. Both sides use it to reduce risk: you confirm the lab is right for you and clear the entrance exam from inside Japan; the professor confirms you can do the work before formally taking you on for a degree. Many MEXT scholars enter this way — spending their first 6–12 months as a research student before matriculating into the degree program.

Two things to plan around:

  • It is not automatically a degree. You still have to pass the master's/PhD entrance exam to convert. Treat the kenkyusei period as exam-prep time, not a holiday.
  • Funding differs. MEXT can cover the research-student period; if you're self-funding, factor in that these months cost tuition and living without yet being "in" the degree. Weigh it against applying directly to the degree if your profile and Japanese/English scores are already strong.

The two routes in — and which fits you

Route A — Research student first, then degree. Best if you want to test the fit, your Japanese is still developing, or the lab prefers to see you in person before admitting you to the degree. Lower commitment, but an extra step and extra months.

Route B — Direct to the master's/PhD. Best if you already meet the entry bar (a strong research match, required English/Japanese scores, a solid research plan) and the program has an English-taught or research-based admission. Faster, but less margin for a weak fit.

Step 1 — Find the right professor (not just the right university)

Ranking-chasing is the classic mistake. A mid-ranked university with the exact lab for your topic beats a famous name where no one works on what you care about. To find your person:

  • Start from your research topic, then search Japanese university lab pages, Google Scholar, and J-GLOBAL/researchmap for authors publishing on it.
  • Read two or three of the professor's recent papers. You must be able to say something specific about their work — this is what separates a real inquiry from spam.
  • Confirm the university has a viable application path for international students (MEXT slots, an English-taught graduate program, or a research-student intake) before you invest in the email.
  • Line up two or three professors, not one. Replies are slow and some never come.

Step 2 — The first email (this is the whole game)

A prospective supervisor reportedly decides on your first email in a 30-second skim — and it matters more than your GPA or test scores because the professor, not a committee, controls entry to the lab. So the email must be short, specific, and obviously written to them.

The rules that actually work:

  • Timing: send it 8–12 months before the application deadline. Labs fill up; MEXT timelines are long.
  • Length: keep it under ~250 words. Professors are busy; a wall of text gets skimmed and dropped.
  • Subject line: be specific — e.g. "Prospective graduate student inquiry — [your research topic]." Avoid "Hello," "Inquiry," or "From a student" — those read as spam.
  • Attach exactly two things: a one-page CV and one paper or a one-page research summary. Not five attachments.
  • Focus on the research, not the logistics. Explain why this field and why this professor — not that you "want to become a kenkyusei." The status is the mechanism; the research is the point.

A template you can actually adapt

Step 3 — The research plan (研究計画書)

If the professor is interested, the next thing they'll want — and a document nearly every Japanese graduate application requires — is a research plan (kenkyū keikakusho). This is where Indian applicants can genuinely stand out, because most write it vaguely. A strong one, in ~1–2 pages, covers:

  • The problem / question — specific, not "I want to study AI."
  • Why it matters — the gap in existing work (shows you've read the field).
  • Your approach / methods — realistic and matched to this lab's tools and expertise.
  • A rough timeline — what you'd do across the research-student period and the degree.
  • Fit — one honest paragraph on why this professor and lab, referencing their actual work.

Step 4 — Fund it

The research route is often the cheapest way into Japan because it opens the funding you most want:

The mistakes that quietly sink applications

  • Mass-emailing identical letters. Professors spot a template instantly. One specific email beats twenty generic ones.
  • Leading with "I want a scholarship / a kenkyusei spot." Lead with the research; the funding and status follow.
  • Contacting one professor and waiting. Approach two or three; expect silence from some.
  • Chasing rank over fit. The right lab at a "lesser" university will teach you more — and admit you faster.
  • Ignoring Japanese entirely. Many labs operate in English, but even basic Japanese signals commitment and helps daily life. If you go the research-student route, use those months for it.
  • Assuming consent = admission. A professor's yes is the door opening, not the offer. Keep your paperwork and deadlines airtight.
